Wedding transportation and guest shuttles
Wedding transportation fails in predictable ways: a guest shuttle that runs out of loops, or a limo that should not be on the road. Plan both out.
Guest shuttles: plan the last loop first
The guest shuttle between hotel and venue is the workhorse. Plan the final return first: when the venue closes, how many are left, and whether the shuttle can take them in one trip. Then work backward to arrivals. If ceremony and reception are at different venues, that is a third leg. Count it, and the guests who skip the ceremony.
Check the venue street. In New Orleans, the Garden District bans buses over 20 seats, with limited permitted exceptions. A minibus may get to the door where a coach cannot.

What the rules require
- Federal minimum liability: $1.5M (15 or fewer seats) or $5M (16+).
The wedding party vehicle
The couple and the wedding party usually want something smaller and separate: a black car, an SUV or a Sprinter. Book it on the same request so the timings interlock, especially photos between ceremony and reception. A Sprinter takes 17 to 19 and a full-size SUV up to 6; for a big wedding party, the Sprinter keeps everyone in the same place for photos.
Check the operator, whatever the vehicle
A for-hire vehicle designed for 9 or more occupants is a federal commercial motor vehicle in interstate commerce. One designed for 16 or more needs a driver with a CDL passenger endorsement. Federal minimum liability cover is higher for vehicles seating 16 or more than for smaller ones.
FMCSA Bus Safety Search shows safety history and out-of-service orders. The NTSB found the 2018 Schoharie limousine was dispatched under an out-of-service order. Look the operator up. It takes minutes.
Questions
How many guest shuttles do we need?
Depends on loop time and the last run. Send hotels, venue and guest count, and the quote sizes it.
Can a coach reach a Garden District venue?
Buses over 20 seats are banned there, with limited permitted exceptions. Consider a minibus.
Should guests and the wedding party share a vehicle?
Usually not. The couple moves on a photo schedule; guests move on the venue schedule. Separate vehicles keep both on time.
How do we check a limo company?
Search its USDOT number in FMCSA Bus Safety Search for safety history and out-of-service orders.
