Group Transport

How it works: from trip brief to confirmed car service or charter bus

Four steps. Most booking problems come from step one, so it gets the most space here.

Step 1: send a brief the driver could work from

Dates and times. Every pickup and drop-off as a full street address, not a hotel name. Headcount and bag count. Flight numbers and terminals for airport legs. Any wheelchair users or mobility needs. A mobile number for the lead passenger or group leader that will be on during the trip.

For events, add the venue entrance and the loading point if you know them. For cruise transfers, the ship and the terminal. For multi-day shuttles, the first and last run and the loop interval.

Step 2: one quote for the whole vehicle

We match the vehicle class and a partner operator and send one quote for the trip, driver included. What moves the price: date, total hours, distance, vehicle size, expected waiting time, tolls and parking. Peak dates such as convention weeks, graduation weekends and big game days fill early, so send those requests first.

Step 3: accept, and nothing is charged before then

Read the quote, including the cancellation terms, which depend on the operator and vehicle. Nothing is charged until you accept. If the plan is still moving, say so; a quote built on a guessed headcount can put a group into the wrong size of vehicle.

Step 4: confirm the details that break on the day

Before the trip, confirm final headcount, flight changes, exact pickup doors and the name on the passenger list. Tell the group where the vehicle will stop, especially where local rules keep buses off certain streets or out of terminal curbs. Put a lobby time ahead of the departure time: several cities limit idling to a few minutes, so a coach cannot sit running at the door while people finish breakfast.

Questions

Can I change the trip after accepting?

Send changes as soon as you know them. Whether a change affects the price or the terms depends on the operator and vehicle; we will tell you before anything is altered.

Why do you need the flight number, not just the landing time?

So the pickup follows the actual arrival. Early and late landings are routine, and a driver working from a stale time either waits or misses you.

Can one request cover several vehicles?

Yes. Describe the whole program, such as airport arrivals, a daily shuttle and a closing dinner, and we will quote each vehicle and leg.

Start with the brief

Send what you have. Missing details can follow, but addresses, dates and headcount get the quote moving.
