First, the operator submits the online Charter Bus Form 24 hours ahead. Then the coach stages at the Cell Phone Lot, Autopilot Dr and Rudder Rd. Then it loads on the Arrivals level of the Main Terminal at Doors 4 and 5.

The form has a clock, so a same-morning coach request at IAD is harder than it looks. Book the group transfer at least a day out; earlier is better.

Buses may not be left unattended at the curb. The driver stays with the vehicle and the group comes to it. Name a group lead who walks everyone from baggage claim to Doors 4 and 5.

IAD car service for executives

Limo and sedan pickups require a pre-arranged reservation, and only permitted operators can pick up. The airport's published guidance does not name the sedan meeting point, so the driver confirms it with you before the day. Put it in the itinerary with the driver contact.

26 miles: plan it as a real drive

35 to 60 minutes to downtown Washington. For an international arrival with a same-day meeting, customs plus that drive is the whole margin. Set the pickup from the landing plus customs, not from the timetable. Walter E. Washington Convention Center, Penn Quarter hotels and National Harbor are all a proper drive from here.

When the group lands on several flights

A coach cannot be left at Doors 4 and 5 unattended, and every return to staging costs time. If a group lands on three flights spread across an afternoon, one coach waiting for all three is rarely the best plan. Two runs, or a coach for the main flight and a Sprinter or SUV for the stragglers, usually fits better. The quote can show both.
