Corporate shuttle loops versus single moves
A corporate shuttle runs a fixed loop: hotel, venue, hotel, on a timetable. It suits a conference where arrivals trickle in. A single move sends everyone at once: a dinner, an offsite, a stadium night. Loops need the smaller vehicle more often; single moves need the bigger vehicle once.
Speakers and executives go in a black car service, separately. They are the people whose schedule changes, and one sedan or SUV can change with them.
What the rules require
- Federal minimum liability: $5M for 16+ seats, $1.5M for 15 or fewer.
Venue rules decide the drop
Every convention campus has its own coach rules. At McCormick Place the Marshalling Yard is reservable. During CES, LVCC drop-off is limited to the S2, C5 and West Hall entrances. Seattle Convention Center drops at 800 Convention Place for Arch and 9th Ave for Summit. Dallas is using Halls A to C during its rebuild. Austin's convention center is closed until its expected 2028 completion.

Long event days and driver hours
A passenger driver may drive 10 hours after 8 consecutive hours off. An early airport run followed by a late dinner can exceed one driver's day. Tell us the whole schedule; the operator may split it or add a driver, and the quote says which.
What to check before signing
A charter is your group's exclusive use of a vehicle under one contract. FMCSA advises checking a bus company by its USDOT number. Regulated buses show the carrier name and USDOT number on both sides. Federal minimum liability cover depends on seat count, and is higher at 16 seats and up. Ask for the certificate. It is a standard request.

How many shuttles do we need for a 600-person conference?
It depends on the loop time, not just headcount. Send hotels, venue and session times; the quote sizes the loop.
Can executives and the group share a booking?
Yes, on one request. We quote the shuttle and the black cars as separate vehicles.
Can the shuttle wait at the venue all day?
Venue rules decide. Some campuses offer reservable coach parking; others do not.
